Privacy Policy

1. Scope

This Policy applies to WriteOff, including the WriteOff website, mobile app, support channels, and related services. WriteOff is a product of Zero To Build LLC. This Policy does not apply to third-party services you choose to use with WriteOff, such as OpenAI, Anthropic, Apple, analytics providers, cloud providers, or email/support tools, which are governed by their own policies.

2. Information You Provide

Depending on the features you use, WriteOff may process information such as expense descriptions, amounts, dates, categories, notes, business-purpose explanations, receipts or receipt text, tax-report exports, app settings, support messages, and account or contact information.

If you connect your own AI provider API key, WriteOff is designed to use that key to send relevant expense information to the provider you choose for analysis. Do not enter highly sensitive personal information unless it is necessary for your use of the app.

3. API Keys and AI Providers

WriteOff may allow you to bring your own API key from providers such as OpenAI or Anthropic. Your prompts, expense details, and AI outputs may be transmitted to and processed by the provider you select. Those providers may process data according to their own terms, privacy policies, and data-retention practices. You are responsible for reviewing and accepting those provider terms before connecting your key.

4. Automatically Collected Information

We may collect basic technical information such as device type, app version, operating system, approximate region, crash logs, diagnostic data, usage events, referring pages, and IP address. We use this information to operate, secure, debug, and improve WriteOff.

5. How We Use Information

• To provide app features, including expense tracking, AI analysis, categorization, and exports.
• To respond to support requests and communicate with you about WriteOff.
• To maintain security, prevent abuse, debug errors, and improve reliability.
• To understand product usage and improve the app.
• To comply with legal obligations and enforce our Terms.

6. How We Share Information

We may share information with service providers that help operate WriteOff, such as hosting, analytics, crash reporting, support, email, and AI-processing providers. We may also share information if required by law, to protect rights or safety, to prevent fraud or abuse, or in connection with a business transaction such as a merger, acquisition, financing, or sale of assets.

We do not sell your expense data. We do not use your expense data to provide professional tax advice.

7. Data Retention

We keep information for as long as reasonably necessary to provide WriteOff, comply with legal obligations, resolve disputes, enforce agreements, maintain security, and support legitimate business purposes. If certain data is stored only on your device or with a third-party AI provider you connect, deletion may need to be handled on that device or through that provider.

8. Security

We use reasonable administrative, technical, and organizational measures designed to protect information. No system is perfectly secure, and we cannot guarantee that information will be completely protected from unauthorized access, loss, misuse, or disclosure.

9. Your Choices

You may be able to access, correct, export, or delete certain information through the app. You can also stop using WriteOff, disconnect third-party providers, delete local app data, or contact us about privacy requests. Depending on where you live, you may have legal rights to request access, deletion, correction, portability, or limits on certain processing.

10. Children

WriteOff is not intended for children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to WriteOff, please contact us so we can take appropriate action.

11. International Use

WriteOff is operated from the United States. If you use WriteOff from outside the United States, you understand that information may be processed in the United States or other countries where our service providers operate.

12. Changes

We may update this Privacy Policy from time to time. If we make material changes, we will take reasonable steps to notify users, such as updating this page or providing notice in the app. The updated Policy will apply when posted unless otherwise stated.
